QuickBooks review: what UK adoption data shows

QuickBooks is the package UK accountants name most. Across 6,894 firms that state their software publicly, 3,863 name QuickBooks on their own website - ahead of Sage and Xero. Reviews argue about features; adoption is measurable. Here is the measured picture, and the trade-offs behind it.

The short review

QuickBooks (Intuit) is the volume leader in small-business bookkeeping: bank feeds, invoicing, receipt capture via the mobile app, VAT and Making Tax Digital filing, and a sole-trader tier that undercuts most rivals. It is the default suggestion many accountants make for straightforward limited companies. The standard criticisms: user limits per plan (unlike Xero's unlimited seats), frequent upselling to higher tiers, and first-year discounts that mask the renewal price. As with Xero, none of this shows up as weakness in adoption.

Where QuickBooks sits in the UK market

  • Named by 3,863 firms on their own websites - the most of the six packages we track (56% of firms naming any software).
  • Coexists with Xero, not against it. 1,082 firms name both. If you bring your books in QuickBooks, almost any cloud-literate firm will take them.
  • Certification exists but is not yet in our register. Intuit runs the ProAdvisor programme (Gold, Platinum, Elite). We verify Xero partner listings today; ProAdvisor verification is planned. Until then, treat "QuickBooks specialist" claims as self-declared and ask for the ProAdvisor profile.

The young-firm package

Companies House incorporation dates give QuickBooks a clear profile: the median QuickBooks-naming firm incorporated in 2018, and 62% were incorporated in 2015 or later - against a median of 2012 and 43% for Xero-naming firms. QuickBooks is the package new practices start on; its aggressive entry pricing is aimed exactly there.

Who it fits

  • Good fit: sole traders and small limited companies that want low entry cost, an easy mobile app and the widest accountant support.
  • Weaker fit: businesses needing many users or complex reporting - seat limits push you up the tiers, and at that level the Xero comparison is worth doing properly.
